What Is Wex?

Wex is a fuel card program that gives fuel rebates, discounts, and helps track expenses.

What Benefit Is There To Integrating Wex With HD Fleet's Platform?

When you integrate Wex with HD Fleet, it allows you to review reports for fuel fill ups on the HD Fleet platform. 

How Do I Get Started?

  1. First, you'll need to open an account with Wex.
  2. Once you have everything with Wex squared away, you'll need to review and sign the form at https://hdfleet.com/wex/. This will open up tickets with Wex and us to get it integrated into our system.

How Long Does The Integration Take?

The integration can take up to two weeks.

How Long Before The Data Is Available?

Wex typically sends HD Fleet the report for the previous day Monday - Thursday. Friday, Saturday, and Sunday's data we receive on Monday.

What Reports Are Available?

There are currently two reports available: Wex Fuel Card Report and Wex Discrepancy Report. The Wex Fuel Card Report provides a list of all fill ups using the company's Wex cards, along with information about each fill up.

How Do I Generate A Report?

  1. Login to the HD Fleet platform at https://hdfleet.net/hdfleet/ui/login

  2. Click Reports from the top menu and choose the report you'd like to run (either Wex Fuel Card Report or Wex Discrepancy Report).



  3. Drop down Date Range and choose a range that has a report (must be at least one day old and have already been processed). Click Generate.


How Do I Read The Report?

There are several fields that provide relevant details:
  1. Transaction ID: Provided by the credit card company
  2. Transaction Time: Time the credit card was charged
  3. Fuel Stop: Name of the gas station that was stopped at
  4. Driver Name: Name on the  credit card that was used
    1. Name in Blue: Card holder is a driver in our system
      1. You can click on the driver to go to the trip (if there's a single trip) or to the landmark (if there are multiple trips)
    2. Name in Black: Card holder is NOT a driver in our system
  5. Quantity Purchased (in GAL): Number of gallons purchased
  6. Gross Price: Cost of the gas purchased
  7. Vehicles: Vehicles that were in the landmark area for that gas station within 30 minutes (either direction) of the charge
    1. You can click on the vehicle name to view the vehicle
  8. Trip ID: Trips of vehicles that were in the landmark area
    1. These are clickable so you can review the trip
  9. Transaction Type: How many vehicles were at the landmark area
    1. Red = No vehicles
    2. Yellow = More than 1 vehicle
    3. Green = 1 vehicle
    4. In cases where there was more than 1 vehicle in the area but we can determine which vehicle filled up, it will be marked green and show only that trip and vehicle for the fill up even if other vehicles were nearby. This is only available on some camera models
You can filter on the Wex Fuel Card Report by clicking on the red, yellow, or green at the top of the page.

The Wex Discrepancy Report only shows fill ups with more than 1 vehicle at the fuel stop location during the 30 minutes before and after the charge.

Other Things To Note

  1. When someone uses their Wex card at a fuel station to fill up, the platform will automatically create a landmark for that station under the Wex Group Name.
  2. You can edit the landmark by going to Maps at the top of the page, dropping down the Landmark menu, and clicking the edit button next to the name of the landmark.



    Make the adjustments needed to the radius or move the drop pin (or both) then click Update.



    Warning
    Important
    Do NOT update the Landmark Name. Updating the name will cause the next fuel purchase at that location to generate a new landmark.

  3. You can change the color and/or icon of the pin drops and other information by going to Settings > Location Groups and then clicking the Edit icon to the right of the Wex Location Group. Make the change to the icon and click Save.
