This is a basic overview of our DVIR option on our platform.
How to Access DVIR Reports:
- Log in to https://hdfleet.net, and click on Action Board. From there, select Driver's Vehicle Inspection.

- Now, you should see all your DVIR reports that your driver's have created.

You can see current Status and Condition of Report to know what Stage it's in.
Note
To change who gets notified for each Status, click on the Gear icon to edit these options.

You can add different emails to each stage, just in case you have different people handling the Initial Report, Repairs, and Final Approval by clicking the edit icon next to the stage you'd like to edit and moving the names from the left to the right (or vice versa) side using the arrow buttons then clicking Save.


How to Create a Custom Checklist:
- Click on New Driver's Vehicle Inspection and the Default Checklist should pop up.

- To create a Custom Checklist, you need to click on the '+' icon.

- Here, you can choose a Custom Name, Set as Company Default, and add whichever items you need on your checklist. To add a custom item, select the Add Item field and type in what you'd like to add, then click the Add Item button. To add from a list, click the Select From Existing Items button and check any items you'd like to add. Once complete, click the Submit button at the bottom.

How to Edit/Update DVIR Reports:
- Click on the Edit icon on the report to make any updates or approve the report.

There are 3 options to choose from when reviewing a report:

- If you need more information from the driver, you would choose the Needs More Information button, and this will send the report back to the driver for them to add either more notes or images.
- If you think repairs are needed, you can select the Repairs/Supplies are Required button, and this will send it over to the Repair Stage. This will notify whoever you have managing repairs, so if you have a mechanic on hand, they will receive an email letting them know that a certain vehicle is needing repairs.
- If you think repairs are not needed, you can select No Repairs Required, and this will send it over to the Final Stage. This will send the report over to your Fleet Manager, or whoever you have managing your vehicles. They will review the report, and approve if satisfactory.
How Drivers Submit a Report:
- You first need to make sure you have a driver created on the platform. If you don't know how to create a Driver, you can look at this article for more information.
- After you've created your driver, you need to add them as a user and select Driver as their User Role. This article shows how to create a User on the platform.
- Once these steps have been completed, your driver can log into the platform on their phone using their Mobile Browser, and the DVIR option should immediately pop up. They will select the vehicle they are driving, and go through the checklist you have set up for them, and once they've completed their routine check, they will submit the report to begin the process.
